HCM Data Migration for a Housing Association

Introduction: One of the significant UK housing associations dedicated to providing affordable and quality housing solutions across the UK embarked on a transformative journey to modernize its human resources management system. Risk Sensing pitched in to migrate its HR data from the existing legacy platform to Oracle Fusion Human Capital Management (HCM) Platform as part of this initiative.


Engagement Objectives

  1. Navigating Complex Data Structures: The project involves understanding and managing the diverse and complex data structures within the legacy platform, including employee records, payroll details, benefits data, and performance evaluations.

  2. Handling Data Volume and Diversity: Managed a vast amount of HR data, including information on employees, contractors, and temporary staff, across multiple locations and departments. Maintaining data integrity and accuracy throughout the migration process is a key focus.

  3. Executing Data Cleansing and Transformation: Focused on executing data cleansing such as standardizing formats, resolving discrepancies and transformation procedures to ensure data consistency and quality during the migration.

  4. Coordinate with Third Parties: Collaborated closely with Outsource Payroll Service providers and the System Implementer.

Our Response and Approach:

  1. Comprehensive Data Analysis: The migration process begins with thoroughly analysing the existing HR data stored in the legacy platforms. This involves identifying data sources, data types and potential data migration challenges.

  2. Data Mapping and Transformation: A detailed data mapping exercise is conducted to map data fields and attributes from the legacy platform to corresponding fields in the Oracle Fusion HCM platform. Data transformation rules and algorithms are applied to standardize formats, clean data, and ensure consistency across datasets.

  3. Data Cleansing: Before migration, we implemented thorough data cleansing and validation procedures to identify and resolve data inconsistencies and duplicates. DevOps raises tasks to ensure that missing data is promptly provided, contributing to a comprehensive and accurate dataset.

  4. Migration Execution: The migration process unfolds in stages, commencing with extracting HR data from the legacy platform. The extracted data undergoes transformation utilizing various dashboards created with Excel and Power Query. Subsequently, the transformed data is formatted into HDL, validated, and uploaded into the Oracle Fusion HCM platform using batch processing and data loading mechanisms.

  5. Validation and Quality Assurance: Comprehensive testing and validation procedures are conducted to verify the accuracy, completeness, and integrity of the migrated data. This includes data reconciliation, integrity checks and workflows within the Oracle platform.
